I would like to be able to set alerts on invoices like - child client process medicare rebates as claimant, email medicare invoice don't process, charge $210 next time etc..

I know core plus has the reminder when a patient has been seen 5 times under their current referral, but many people use 2 referrals over a year. They may only have 2 visits on one referral and then use another 3 visits on a different referral. We need to be notified in the invoicing stage when a patient has been INVOICED 5 times under Medicare in a year. Very often I charge a patient expecting them to get a rebate but then it doesn't go through because they have already been in 5 times under medicare. There for the patient gets no rebate and aren't able to claim through their health fund unless I refund the invoice, change the codes and then put it through as a private claim. We need to be notified as soon as we make an invoice for someone if they have already claimed 5 times in the year through medicare, before we put the payment through when it is too late.

Thanks for the post Heidi,
Currently, we have the appointment alert which appears when an appointment is created or edited. Would something like this, except appearing on the invoice page help with your workflow?
An alternative to the alert would be to use the Concession field in the client details page. You can add custom values to the list. e.g. Child.
Then when generating the invoice, you'll see red text at the top of the page.

This would be great, but I don't know how it can be done. I know that GP can check care plan usage through HPOS, but they only allow allied health to call up Medicare to ask. Quincy

Just wanted to add... can the referral automatically untag itself on deleted/cancelled apps. They still show as "Patient has used 7 out of 5 visits" because the cancelled app is still linked.

Hi Andreas,
The referral we receive for Medicare will only pay 5 rebates within the calendar year (across all allied health services). It doesn't matter how many referrals or when they are dated (they are valid for 12 months, but 2 or more referrals can be used by the same patient within the year ie if their care plan changes or there is a new condition)
I know that we can write 5 visits and link them to the calendar, but the issue is we don't always know if the patient has already claimed all 5 visits, or if they've been elsewhere (I don't think we can see if they've been elsewhere because of privacy, but if we could see it better on our system for their app with us, it will reduce the problem a lot).
We only get notified after taking payment if it's declined. (The reason is very vague on the statement, and then we have to go through everything, check the medicare, check the referral details, ask the patient if they've used a referral elsewhere, work out if the fault is with medicare or us, then if they cannot claim, refund the money and bill under a different code and claim through their health fund (if they have one) as health fund claims can only be done on the day of service)
I'm not sure if other clinics have a different limit for these things, so maybe just a field that we can choose:
Code (> 10962 <) notify when billed (> insert number <) times on every patient.
Something along those line would help.
